ready to purchase and need immediate answers to their questions,
are you able to provide them? Wouldn't it be
nice to be able to automatically send email responses to your website visitors and
potential customers based on their specific needs?
Prospect AutoResponder can make it happen! It runs on your
own desktop computer (no need for special web server configuration), and
will automatically send out emails to your customers whenever they
inquire about your products or services. With most auto-responder
programs, you can only setup one response per email address. At Internet
Marketing Technologies, we realize that many online businesses and
organizations need more flexibility than a single auto-response would
offer. Therefore we designed Prospect AutoResponder to be a
"smart" auto-responder.

The concept of using
Prospect AutoResponder is very simple. It automatically
answers email requests for you. Many webmasters have several different
email forms on their websites, such as a tech support form, pre-sales
inquiry, newsletter request, etc., that all need to be responded to
differently. Prospect AutoResponder can respond with a different pre-written
message based on keywords that are in the subject line of the email. For
example, let's say you have a technical support form on your website that
sends you an email when a visitor submits it. If you place the words
"tech support" in the subject line of your web form, this could trigger
your pre-written "tech support" email to be sent automatically. This leaves
you free to go golfing, shopping, or even on vacation without worrying
about your potential customers not getting your email replies. It also
makes it look like you are very professional by replying to their email
inquiries so quickly. Sometimes people just don't want to wait, and they
won't think twice about buying their goods somewhere else if they don't
receive a prompt answer from you.
Prospect AutoResponder is very
simple to configure and use. Our programmers added a few simple setup
wizard screens to take you step-by-step through the configuration
process.

Let's get
started!
Screen #1
When you open Prospect AutoResponder, the first screen you will see is this:

This screen
allows you to enter the account information for the email addresses that
you want to use to send and receive your auto responder emails with. The
fields at the top of the screen are for your outgoing email address. This
is for the reply email address that will be used when sending
auto-responses. Note: Do not use the same email address to send
and receive emails with, because if the customer responds to your
auto-response, they would then get another auto-response. Tip: Use
an email address that you check frequently as your reply email address.
That way if a customer responds to your auto-responder email, you will be
able to answer them. Another option would be to state in your
auto-response message, "This is an auto-response to your email inquiry.
Do not reply."
The fields in the center of the screen are
for your incoming email address information. If someone sends an email to
this address, Prospect AutoResponder will send an auto-response to
them. You can use this email
address in your web forms, email links, Prospect Subscriber, etc. If you
have any questions regarding your mail server name, username, or
password, contact the ISP that gave you the email address or your network
administrator if you have your own mail server.
The field at
the bottom of the screen allows you to create a log file that will log
all of the mail server activity associated with your incoming and
outgoing email addresses. This can serve to be very helpful if you ever
run into configuration problems or other mail server issues. To enter a
log filename, first click on the "browse" button to the right of the
field and select a directory to store your log file in. Then either
create or select an existing filename to save your logging information
to.
Note:
You cannot use more than one incoming and one outgoing email address with
this program. However, you can run the program on several different
computers if you want to use multiple outgoing and incoming email
addresses.
Once you have
completed filling in the fields on this screen, click the "next" button.

This screen will allow you to create and
edit auto-response messages. Prospect AutoResponder allows you to create and store an unlimited number of
pre-written auto-response messages. For
the program to work, you must fill out the default response fields first. You can choose
to use only the default response, or you can create multiple responses
that will be triggered based on specific words or phrases in the subject
line of the incoming email. This can be very useful if you want to send
different responses based on the type of inquiry. For example, if someone
wants to request a catalog, you can create a response message that is
only triggered when the word "catalog" is found in the incoming subject
line. The different response messages are very easy to configure.
If you decide
not to use multiple response messages, all of your incoming emails will
be answered with the default response. The default response is the
response that is sent unless you create additional auto-response messages,
and is
also the response that is sent if the incoming subject line does match a
word or phrase associated with any other auto-response messages that you have
created.
To edit an auto-response
message, select it and click on the "edit" button. If you want to save the incoming email addresses associated with the
specific auto-response,
you can enter a filename in the "Save address to file" field by clicking
on the button to the right of the field and selecting a directory to
store your file in. Then either create or select an existing filename to
save the email addresses to. You can create a different filename for each
response message, or they can all use the same file.
Subject Line Triggers: You can enter
words or phrases to the "If the incoming subject line is" field. When an
incoming email is received by Prospect AutoResponder, it will scan
the subject line to see if there is a matching response message, and if
so it will respond to the email with the appropriate auto-response. For
example, if you enter the word "catalog" as a trigger for a specific
response message, all incoming emails with the word "catalog" in the
subject line will be answered with this particular auto-response message. If the subject line does not
match any of the auto-response messages, it will send the default auto-response.

This third and last screen allows you to
view Prospect AutoResponder processing
incoming email requests. To begin the auto-response process, click on the
"Go!"
button. To stop it for any reason, click the "Stop!" button. In the left
window of the screen you will see the email addresses of the incoming
emails. On the right side of the screen you will see the mail server
activity as the program receives and sends email.
On the lower left you can see how many addresses have been received so
far.
To the left of the "Go!" button you will
see a check box and a window that says "Check every 5 minutes". If you
check the box, Prospect AutoResponder will automatically pop (check) the email account
based on the frequency that you select. The options are every five
minutes, every 15 minutes, every half hour, every hour, or every two
hours. If you expect to get a lot of incoming emails, we recommend
setting the frequency to every five minutes.
